- This agreement is made between Campus West and the Hirer and relates to Campus West’s accommodation (Roller City).
- The Hirer shall ensure that his/her guests, associates, members, employees and agents shall be made fully aware of the Terms and Conditions and hereby undertake to comply with them in all respects.
- Unless specifically authorised by Campus West, Roller City will not be let on Good Friday, Christmas Day, Boxing Day, New Year's Day, Election Polling and Counting Day, maintenance periods or any other Public Holiday.
- The maximum capacity of 48 People in a session shall not be exceeded, in the event of this occurring the Management reserve the right to refuse entry so there may be compliance with the Social Distancing Guidelines.
- Overcrowding in such a manner as to endanger the safety of any person present in the said premises shall not be permitted. The requirements of the Home Counties (Music and Dancing) Licensing Act 1926, the Hertfordshire (Music and Dancing) Regulation 1955 and the Theatres Act 1968 or any statutory amendment thereof must be complied with.
- The Hirer shall be responsible for all First Aid provisions for all members of the respective hire.
- Where the said premises include a dancing area the Hirer shall not permit or allow any persons to dance in the dancing area unless suitable footwear is worn.
- Any damage occurring in the premises, or within the grounds of the complex, which is proved to be as a direct result of wilful damage or negligence by any person attending an event will be charged to the Hirer.
- Campus West shall not be responsible for any damage or injury caused to any property of the Hirer or his/her guests for any personal injury to such persons however caused.
- The Hirer shall make no alterations to the lighting, heating, seating, gangways, fittings, fixtures or decorations except with the written consent of the Manager. All signage and decorations that are to be placed on the wall must only be attached with Blue Tack.
- No responsibility will be accepted or compensation paid by the Manager, Campus West or its officers in the event of loss or damage being suffered by the Hirer or by any other person on account of the failure, for whatever reason, of the lighting, heating or any other equipment on the premises.
- The passages, doors and staircases shall be kept clear and unobstructed, and no chairs or other articles shall be placed therein or any doors be fastened and the Hirer shall comply with all relevant fire regulations or orders currently in force. All arrangements as to placing of seat means of ingress and egress including gangways shall be under the control of Campus West.
- Motor vehicles must not be parked in any of the exit ways outside the buildings in which the said premises are located. And Campus West does not accept any liability in respect of vehicles parked outside the said premises.
- The Hirer shall be responsible for the proper conduct management and control of the hire and must be present at the hire and arrange to have responsible persons in charge.
- In the event of the Hirer failing to comply with Condition No. 20 Campus West may refuse the use of or future bookings of the said premises unless satisfied that appropriate precautions have been taken to preserve order and in the event of Campus West under this Regulation refusing the use of the premises for which fees have been paid they shall be under no obligation to return the same to the Hirer.
- Alcohol and all other beverages consumed at the premises must be purchased from the premises. There will be no exceptions to this. If a hirer is found to have broken this condition, they will no longer be able to hire the premises in the future.
- Campus West is a “NO SMOKING” building. Guests wishing to smoke, while attending any private function, must do so in the designated smoking areas outside the Premises. The Hirer must ensure all their guests are informed of this condition.
- No naked flames are allowed in Roller City. Only electric food warmers will be allowed no burners, gel cans or flamed equipment of any sort will be allowed in food prep or the heating of food for your guests. Candles and tea lights also fall under this condition and will be removed if supplied by the hirer.
- All portable electrical equipment must be Portable Appliance Tested (PAT) or the Institute of Electrical Engineers (IEE) latest test and inspection code of practice for in-service inspection of test and electrical equipment before use within Roller City. Without such proof being provided when asked for, the equipment shall not be used. Careful positioning of equipment is also required to prevent tripping hazards to the public and staff members.
- All hirers must know where the nearest fire exit and assembly points are. In the event of hearing a prolonged ringing of the fire alarm, they must make sure that all members of their group are safely evacuated from the building in a sensible manner via the nearest fire exit. The assembly point for the premises is outside the car park adjacent to the complex.
- The Hirer shall not transfer this agreement or the benefit thereof and shall not part with or share the use of the premises or any part thereof but may, with the consent of the Manager surrender this hiring to Campus West so that the premises may be re-let.
- The Hirer shall not use the premises or any part thereof for a performance for which a copyright subsists without the consent of the owner of the said copyright or in any manner infringe any subsisting copyright.
- In every hiring, there shall be deemed to be implied on the part of the Hirer an undertaking with the Manager and Campus West strictly to observe and perform all Statutory Regulations and all conditions and regulations imposed by the Justices or the Licensing Authority on the premises and to indemnify and save Campus West, their officers and staff from all penalties, damages and costs which may be incurred in consequence of any breach of default in complying with any such provisions, regulations or conditions.
- The Council requires 28 days notice in writing of any cancellation or reduction in hiring. If the Hirer gives less notice, the Hirer will have to pay for the reserved times.
- If any change requested by the hirer is made outside 28 days' notice of the period of hire, a 50 per cent charge will apply on top of the hire fee.
- If for whatever reason Campus West has to close due to unforeseen circumstances i.e. Snow and other inclement weather, we will refund any monies in full, however, if Campus West and its operations remain open, no refund will be given. The decision not to attend any event is then purely that of the hirer or customer.
- The Manager’s decision is final in all matters.
